The Sidwell Validation Unit of the Register of Deeds Office reviews every document that is recorded, checking the legal descriptions of each. A
sidwell number, also known as a Tax Identification (ID) number or parcel identification number, is required for the legal descriptions. If the number is not present research is performed to locate the number, which is then applied to the document.
Verification of Sidwell numbers is handled through the land file of the Equalization Department.
Validation procedures involve the manual mapping of acreage descriptions, as well as partial lots in subdivisions; using a scale and compass or utilizing the GIS Computer System. Most GIS/Auto Cad mapping is produced to insure accuracy and closure within the Parcel Fabric. Requirements of movement within the GIS' Back Environment includes aerial overlays of property lines, when necessary.
Upon evidence of error, such is brought to the attention of the presenter of the document, together with suggestions on how to remedy the problem(s). Upon presentation of a document that is correct and ready to record, the document is approved by the Validation Department.
We also maintain updates of mini-maps and oversee all procedures, mapping and requirements of condominium projects and plat recordation in conjunction with the State of Michigan.
