Before calling the help desk you need to determine which security you are having problems with. Are you having problems with the Citrix login or the BSA-Tax system security? Once this is determined please contact the help desk. The help desk will log the call and you will be contacted when your password is reset.
Please be sure to tell the help desk you are a BSA-Tax customer.

How will Splits and Combinations be handled?
- The assessor and treasurer will need to decide if they are going to process splits and combinations continually through out the year or process splits/combinations once a year before the July tax season.
- If the cvt decides that they are only going to process splits/combinations once a year then all money owed will be paid on the parent parcel. No children parcels will be created until the following tax season.
- If splits/combinations are going to be processed throughout the year then children parcels will need to be created on both the tax and assessing side. Children parcels will need to be manually entered into the BSA-tax system for both summer and winter.

Where will my Name & Address Changes Occur?
- Name and Address changes will all still occur in the Land File (SLND) and changes are imported nightly into the Tax System.

Is there a way to see when the 30 day deferement date will be up on a parcel that had a adjustment?
No, but the parcel info page will show that the parcel is deferred and will also show the amount that the deferment is on.

Can I Make Changes Once My Taxes Are Committed?
- Once taxes are committed all changes will be considered adjustments and will appear on the audit report. Changes that can occur are due to JBR, DBR, MTT,Assessor Corrections, STC and Special Assessment changes.

When doing electronic imports from Assessing and a cvt has already made BOR changes how does that impact the system?
If there is an existing BOR adjustment on the parcel in the Tax system, the Assessing Import will simply overwrite any changes on that parcel. It will generate a report displaying the adjustment that was made, but will not note that an adjustment already existed.

When using the F12 or Insert key does the system always assume the full tax amount billed for payment?
Yes, no matter if there is already a partial payment on the parcel it will post the total tax billed.

How do I Mark Parcels?
Before using this feature you must make sure that you have your own unique mark/unmark number entered in your user preferences.
You can mark parcels two ways.

In the parcel Summary List press your space bar and the parcel will be highlighted.

From the Utilities menu you can click on the Quick Entry Utilities. From the pop up window click marked parcels. This will allow you to quickly enter parcels you would like to mark.

How do I run reports on Marked Parcels?
Once you have all of your parcels marked that you want in a particular report you will need to Index by Marked Parcels. You will notice it will bring all of your marked parcels to the bottom of your Parcel Summary List. You can now block on the Marked Parcels. Run you report using the population block.

Why Do I get the Message You are Not Authorized for CVT02?
This error occurs when you are at the top of the database and have entered a cvt that you do not have authorization to view.
To correct this error you must click on the search icon at the top of the page. Enter your cvt code and click on continue. This will start the system spinning to your records. Double click on a parcel in your cvt.

How do I identify parcels that were Split that may have Special Assessments?
You can run report IT05104 Splits with Special Assessments owing on the parent parcel report. This report will display parcels that have a SPL code in the adjustment column and also have a special assessment still on the parcel.

Do we want to include 'N' batches in the Daily Cash Journal Report?
No, because we want to match dollars that we collected over the counter.

Do We want to included 'N' batches in the Quick Tax Disbursement?
Yes, we need to include all batches in our quick tax disbursement reports.

When do I have my Taxes Committed?
Once taxes are committed this is a final step in the tax billing preparation and complete care should be taken before authorizing this process. Taxes will be committed by Information Technology after you have completed the tax billing check list. This must be sign and fax to Information Technology. Please allow 24 hours for this commitment process to occur.

Is there a Receipt that will show all payments and payment dates on a parcel for Income Tax Purposes?
Yes, If you use the Standard Tax Receipt it will list all payments and the date the payment was made.

Once you do a refund by mistake is there a way to make it a Reversal instead?
Yes, you must first reverse the refund line and also the original payment line.

If you need a change made to the system that your security settings do not allow please email your changes to tewilliagera@oakgov.com and every effort will be made to make your updates.

Can I change my Interest/Penalty due date, percentages etc after I have started accepting payments?
NO, you cannot and should not change this page unless you reverse all payments out that have were accepted with interest/penalty. You would then have to correct the interest/penalty page and re-enter all tax payments.
Make sure that you test your interest/penalty calculations before payments are accepted. Do this by moving your posting and interest dates forward.

How Do I Make A Folder On My Hard drive?
When exporting tax bills it is recommended that you have a folder for each tax season on your hard drive so you can keep a electronic version of your exported data.
1. You must know what drive you store your files on. Usually C or D.
2. Right click on the start button.
3. Click on Explore
4. Click on the C or D root directory (It should be highlighted)
5. Click on File >New >Folder
6. You will notice a new folder has been created on the drive.
7. Right Click on the new folder and click rename. This will allow you to name your folder. Ex: 2005 Winter Tax Bills.

Why Do I have to use a Naming Convention for Reports I create?
We have created a naming conventions for reports that we create in the tax system. You will find the naming convention on this website.
The BSA Tax system creates the first 7 positions as a internal name on each report generated. IT has worked with the BSA Staff to create a naming convention that will allow us to use these 7 positions to get the maximum benefit.
By following the naming convention will also allow you to find reports your cvt has written easier because each report begins with your cvt code. This also makes sharing of reports much easier between units.

If you need a new mortgage code added to the system please fax information to 248-858-1711 or email to tewilliagera@oakgov.com. Please make sure you have searched and verified that the mortgage code does not exist before requesting a new code.

I Found a Duplicate Mortgage Code in the Master List
If you find that we have a duplicate mortgage code in the master list please fax both mortgage codes and names to 248-858-1711 or email tewilliagera@oakgov.com and one of the codes will be removed.
Care must be given when removing a code because their may be parcels already assigned to both mortgage codes.
